Taking the register

This page is for the form teacher of a class, in the EduPrefect teacher app on your phone.

If you are not sure whether your class takes attendance once a day, open it from the Classes tab and look at the tiles. No Attendance tile means your school takes attendance for that class per period instead — you want Subject Attendance, and if you teach no subject in that class you will see neither. Your school office sets this, not you.

⚠️ The Home tab shows a Take attendance button on every class you teach, whether or not the daily register applies to it. So it is not a guide to what your class uses. Use it on a per-period class and everything you mark will come back Failed.

From the Home tab, find the class and tap Take attendance.

You can also open the class first and choose Attendance from there. The Home tab is the more reliable route, because it still works when you have no signal. The class page does not.

With no signal the class page says “You don’t have any tasks available for this class yet. Pull to refresh, or check back once your subjects are assigned.” That message sounds like something your school has to fix, but it is usually just your connection. Go back to Home and use Take attendance there.

Each pupil has four buttons: Present, Absent, Late and Excused (shown as P, A, L and E).

A pupil you skip is not recorded at all — nobody is marked until you mark them, and an empty register saves nothing.

Two things make a full class quick:

  • All present (N) marks everyone you have not already touched. The number is how many that is. Mark your absentees first, then tap it to finish the rest.
  • Copy Mon 23 Jun — the button carries the date of the last register you took — copies that day’s marks onto the pupils you have not already marked. ⚠️ This one has a second step. Read the next section before you use it.

To find one pupil in a large class, type into Search students….

⚠️ Copied absences are held back until you confirm them

Section titled “⚠️ Copied absences are held back until you confirm them”

When you tap Copy Mon 23 Jun, most marks copy straight across and are sent as normal — present, late and excused all behave that way. Absent is the exception. Copied absences are held back instead: those rows show a Held badge, and they have not been sent to the school.

They are held on purpose. Yesterday’s absentee is often today’s, but not always, and marking a child absent sends a message to their parent — so the app makes you look before that goes out.

To send them, scroll to the bottom of the register. There is a card headed Review copied absences with a button reading Confirm & send (N). Tap it.

If you do not tap it, those absences do not reach the school on their own. They are not counted in the pending sync number at the top, they are not sent when your signal comes back, and nothing will remind you. To find them again you have to reopen that same class on that same date.

(Tapping A again on a held row also sends it. But that means going through the class pupil by pupil, which is exactly what the confirm button saves you.)

⚠️ Signing out while absences are still held asks you first. Held absences have not been sent to the school or to parents, so the app will not sign you out over them silently: it lists which class and day they belong to and offers Go back (confirm them on the register first) or Discard and sign out (they are lost). It never sends a held absence to a parent without your confirmation.

⚠️ Signing out with unsent entries asks you too. The app first sends whatever it can; if anything is still waiting for signal, or was refused by the school, it tells you how many and in which part of the app, and offers Go back or Discard and sign out. Entries waiting for signal go on their own once you have some — the safe choice is to stay signed in until the sync badge clears.

So: after copying a day, always finish at the bottom of the screen.

The register is built to work with no connection. What you tap is saved on your phone straight away and sent up on its own when you next have signal. You can close the app in between.

The badge on each row tells you where it has got to:

Badge What it means
(none) Sent and stored by the school.
Pending Saved on your phone, waiting for signal. Nothing for you to do.
Held A copied absence you have not confirmed yet. Not sent. See above.
Failed The school refused it. The reason is written under the pupil’s name (Refused: …). Changing that mark sends it again; if the reason is the date, check the phone’s date and time first. If you no longer teach the class, changing it won’t help: use Entries that can’t be sent on your Profile to send it again or discard it.

The header shows a count like 3 pending sync while anything is waiting. If you want to push them up yourself rather than wait, tap Sync now (3).

⚠️ Pending and Held are not the same thing. Pending will send itself. Held will not.

‹ Prev and Next › move one day at a time.

To jump straight to a day, tap the date between those two buttons — it has Change written underneath it. The last fortnight appears below, and you pick from there. Back to today brings you back.

You can amend a register you have already taken — just open that date and change the marks. Two things to know before you do:

  • The old mark is replaced, not kept alongside. There is no history of what it said before, so change a past register only when you are correcting a genuine mistake.
  • Your school decides how far back that is acceptable, not the app. If you are unsure whether to amend last term’s register, ask before you do.

A pupil is missing from the list. They are not enrolled in this class as far as the app knows. Ask your school office — a teacher cannot add them.

Everything failed rather than one row. A register is sent as one batch, so when the school cannot say which rows it refused, it refuses all of them. Two usual causes: the class is not yours to mark, or your school takes attendance for that class per period rather than once a day. Both are worth checking before you re-enter forty marks. When the school can name the rows — a date it will not accept, say — only those pupils show Failed, and the rest are sent.

A count of refused entries “on other days”. A mark you entered for an earlier day was refused after you had moved on. Open that day from the date picker; the reason is under the pupil’s name.

The class page says you have no tasks available. See Opening the register above — go back to Home.

You marked someone Excused and want to say why. You cannot, from the app. The status is recorded; the reason is not. Tell the school office separately if it matters.
